Position Overview 

The United Way of the Mid-South (UWMS) is seeking a well-organized and independent leader to serve as a Mobile Assistant Site Coordinator for a Free Tax Preparation/ VITA (Volunteer Income Tax Assistance) mobile tax site providing free tax preparation at various locations. Overseeing mobile free tax sites, which offers free federal and state income tax preparation for qualifying families and individuals from January – April. With the guidance of the Director, Community Impact, this individual will assist in managing mobile Free Tax Preparation/VITA sites in one of 8 counties in our service area with a goal of increasing participation and providing excellent quality service. 

Primary Duties and Responsibilities 

Operates under the management of the lead staff for the Free Tax Prep Initiative and in accordance with all requirements set forth by staff, the Internal Revenue Service and grantors.

  • The Mobile Assistant Site Coordinator will assist in managing a mobile tax site for the 2020 tax season, providing Free Tax preparation at various locations.  The Assistant Site Coordinator will help recruit, schedule and manage volunteer tax preparers for the 2020 season, ensuring all volunteers have obtained the necessary certifications. 
  • The Assistant Site Coordinator will assist in providing regular reports to UWMS to support IRS reporting requirements.  
  • This individual will complete the Volunteer Standards of Conduct, Intake/Interview/Quality Review, Site Coordinator, advanced IRS Tax Law, HSA and Military certifications and conduct Quality Reviews of returns filed by fellow volunteers. 
  • They will assist with tax preparation when necessary.  
  • Comfort and experience working with computers and web based reporting programs is required.
  • Responsible for providing free tax site services to select areas of the city and surrounding 8 county area encompassing Tennessee, Mississippi, and Arkansas by offering mobile services at defined locations.
  • Responsible for the collaboration with the United Way Agency partners who will help in identifying potential clients for tax preparation.
  • Provides support and guidance to volunteer staff who prepare electronic tax returns for low and moderate-income taxpayers.  
  • Assist in volunteer management of the mobile free tax site location including, scheduling, providing instruction, monitoring, and oversight.
  • Assist in site management including, maintaining confidentiality, client services, tax return review and transmission, and volunteer relations.

Qualifications

  • 1-3 years of experience in the field of tax preparation as a volunteer or as an employee in a public setting.
  • Knowledge of Tax Law and ability to pass IRS required certification exam.
  • Proven experience in community relations and ability to work with the public in diverse settings with excellent customer service and public relations skills.
  • Proven ability to manage volunteers in a fast paced, high stress environment.
  • Experience in data management and reporting electronically and via the web.
  • Strong ability to work independently without supervision.
  • Reliable transportation to drive to the tax site and transport all necessary equipment as needed.
  • Flexible schedule (some assignments will require weekend/evening work).

Physical Requirements

This position requires the employee to be able to lift 30 pounds.  The employee is regularly required to stand for long periods of time.  The employee is frequently required to use finger and hand motion, and to reach using arms and hands.   The position may also require significant walking and capability to climb stairs. The employee will need to have the ability to talk to and hear customers during events.  Specific visual abilities required include close vision, distance vision, depth perception and ability to adjust focus. There may be additional physical requirements associated with off-site corporate or volunteer events.

This position requires a valid Driver’s License, car insurance and reliable transportation.  The position also requires flexible hours outside of normal business hours and some local travel to meet with partners.

Mileage for travel outside of Shelby County and to daily dual assignments, at the applicable IRS rate, will be paid.
